# Data Subsystems, Inc. — Full Profile > Data Subsystems (datasub.com) is an agentic automation engineering studio. We build AI agents, the agentic orchestration that coordinates them with systems and people, and the controls (SOX-relevant ITGCs and ITACs) that make automation auditable — plus the RAG, document processing, payments, and cloud platforms underneath. Founded in 2008 by Alex Shortov; a US company headquartered in Clearwater, FL, with US-based management. ## What we are Data Subsystems, Inc. is an agentic automation engineering studio founded in 2008 (originally Shortov Consulting, Inc.) by Alex Shortov. We design, build, and operate AI agents, the orchestration that coordinates them with systems and people, and the controls that make the result auditable. Unlike a generic agency, we ship evidence-grounded AI and automation to production, run it unattended, package what works as reusable solution accelerators, and apply fintech-grade security, change control, testing, and disaster-recovery discipline across every project. Our team includes SOX controls experience (ITGCs and ITACs). We work as one dedicated senior team (worked together 15+ years) and stay with clients long-term — most return for the next project. Tagline: "Agentic automation, shipped to production." Operating principle: agents reason, automations act, people decide, controls prove it. ## Capabilities ### Agentic Automation & Orchestration We build AI agents that act, not just answer: they read documents and tickets, query systems through APIs, tools and MCP servers, and carry a task to completion. Around them we build agentic orchestration — durable, long-running, multi-step workflows in which agents, deterministic automations, and people each do the part they are best at. Design rules: anything that can be a rule stays a rule; agents handle judgment and exceptions with narrow jobs and least-privilege credentials; anything irreversible waits for a named approver behind role allowlists, rate limits and a kill switch; deterministic validation gates and a second-model judge sit between an agent's output and the real world; every run records inputs, sources, model and prompt version, tool calls, approver, and cost. Durable execution means retries, fast and slow lanes, heartbeats, idempotent state, and stale-run cleanup. We are platform-neutral: what we build is API-first, so it sits alongside the enterprise automation and orchestration platform a client already licenses and covers what the platform does not reach. ### Controls-Ready Automation — SOX, ITGC & ITAC An automated process that touches financial reporting is in SOX scope the day it goes live. We engineer automation against the four IT general control (ITGC) domains — access to programs and data, program changes, program development, and computer operations — and build IT application controls (ITACs) into the workflow itself: input and edit validation, completeness and accuracy checks, automated reconciliations, tolerances, approval workflows, and exception queues. Agents get their own least-privilege service identities, and the identity that proposes is never the identity that approves (segregation of duties). Prompts, model versions, tools and thresholds are treated as change-controlled configuration: reviewed, tested against a fixed evaluation set, and promoted through environments. Every run leaves an evidence trail a tester can reperform from. We also automate controls work itself: evidence collection, change-ticket-to-deployment matching, user-access review preparation, and continuous controls monitoring. Scope note: we are automation engineers with SOX controls experience on the team; we do not issue audit opinions or attestations. ### Agentic Solution Accelerators Reusable, controls-ready building blocks extracted from systems we run in production. Proven in production: Document Intake & Validation; Grounded Knowledge & Support Agent (from Cortex); Agent Evaluation & Release Gate. Built, pre-production: Guarded Operations Agent (propose, approve, execute, with kill switch and audit log; awaiting commissioning of the line). In development: Controls Evidence & Testing; Reconciliation & Exception Handling. Every accelerator ships with a reference architecture, working code the client owns, a control matrix, an evaluation and test suite, a runbook, and platform adapters. ### AI · RAG & Knowledge Agents We build multi-tenant retrieval-augmented generation (RAG) and AI agent systems that answer from a client's own knowledge and cite their sources. Engineering includes hybrid retrieval (dense vector search + BM25 keyword + Reciprocal Rank Fusion), cross-encoder reranking, LLM-as-judge verification, PII redaction, per-tenant data isolation, and streaming responses. We are model-agnostic, working across Anthropic Claude (via AWS Bedrock and the direct API), Amazon Nova, OpenAI, and Voyage AI embeddings/reranking, with Modal.com for serverless batch pipelines. Vector stores: Turbopuffer, pgvector, FAISS. ### AEO & GEO (Answer Engine Optimization / Generative Engine Optimization) We make businesses visible and citable inside AI answer engines — ChatGPT, Claude, Perplexity, and Google AI Overviews — not just classic search. This is anchored by our own product, aeocontent.ai, and its AEO Rank engine: a deterministic 53-criteria, 5-pillar scoring system for AI citation-readiness. Work includes AI-visibility audits, evidence-grounded content generation, structured data (JSON-LD/Schema.org), llms.txt/ai.txt, and AI-crawler-friendly site engineering. We practice this on our own site. ### Fintech & Payments We build money-movement software to bank-grade standards. Our payments work for SeamlessChex is a live, multi-environment ACH and eCheck system supporting checks, invoices, payment links, recurring billing, mass payouts, marketplace/multi-party payments, and a public developer API. Engineering includes Dwolla (ACH) and Plaid (bank linking) integrations, field-level encryption of bank data, multi-channel two-factor authentication, KYC/beneficial-owner flows, and a layered fraud stack (MaxMind MinFraud, Fingerprint, GIACT). Infrastructure is AWS-CDK infrastructure-as-code across multiple accounts and environments, with multi-region disaster recovery. Compliance note: we follow PCI-DSS and SOC 2-aligned practices; these are engineering practices, not a claim of formal certification. ### Web & E-commerce We build fast, modern, easily-found websites and stores: Astro static sites on Cloudflare Pages, Shopify and headless commerce, and pixel-perfect migrations off Webflow and WordPress. Performance and SEO/AEO are built in — CSS inlining, image optimization, structured data, clean semantic markup, and AI-crawler readiness. We also build product configurators (e.g., a real-time canvas scoreboard customizer for Electro-Mech). ### Intelligent Document Processing We turn documents into action — business documents (invoices, statements, applications) and engineering documents alike — with extraction, validation as an application control, and human review of exceptions. Our document-intelligence systems ingest drawings, bills of materials (BOMs), RF inventories, and manuals and generate cited, field-ready bills of materials and crew runbooks — using vision OCR, structured extraction, and hybrid retrieval. Example: a telecom cell-tower BOM generator that replaces roughly half a day of senior-engineer reconciliation per site. ### Cloud & Data Platforms The backbone under everything: multi-cloud infrastructure-as-code (AWS CDK, Terraform), polyglot data stacks (PostgreSQL/pgvector, ClickHouse, Redis, Kafka, vector databases), CI/CD with GitHub Actions and OIDC, automated backups, health checks, and disaster-recovery-grade reliability. We deploy across AWS, Cloudflare, Hetzner, Modal, and Vercel. ## Selected work (case studies) - Guarded operations agent for a 36-axis industrial line: an operator and maintenance console around a motion controller. Its assistant answers in English and Spanish from 2,531 pages of drawings and drive manuals with page citations, reads the controller through tools, and can propose a write that executes only after a person confirms, behind a kill switch, a role and plant-network allowlist, a rate limit and an audit log. Deterministic gates block unsafe or fabricated answers. Built ahead of commissioning; runs today against a test-bench controller. - Unattended publishing pipelines with compliance in code: two scheduled pipelines (a fine-mineral retailer, 400+ videos published; a medical spa) that ingest, narrate, render, publish and write back with no one watching — approval gate, per-sentence medical-claims validator, consent as a structural eligibility rule, quality gates, budget and rate caps, and state written before it is verified so a killed run never publishes twice. - Cortex (for LiveHelpNow): a next-generation, multi-tenant RAG platform — a customer-facing agent API (live at r.livehelpnow.net), a multi-tenant chat hub, a hybrid-retrieval core, and AI pipelines including an AI-graded knowledge-gap report. - SeamlessChex: a production ACH + eCheck payments platform, developer API, and AWS multi-account disaster-recovery infrastructure. - Electro-Mech Scoreboards (www.electro-mech.com): an Astro/Cloudflare product catalog with a real-time canvas scoreboard configurator and an embedded AI support widget. - aeocontent.ai: our own AI platform that audits AI visibility, scores pages on the AEO Rank engine, and generates evidence-grounded content that gets cited; includes a published WordPress.org plugin. - tower-bom: a telecom cell-tower document-intelligence app that auto-generates bills of materials and cited field runbooks. - HelpSquad: a fast, AEO-ready marketing site for a healthcare BPO. ## Company facts - Legal name: Data Subsystems, Inc. — a Florida profit corporation, document number P08000018983, status Active (as of September 2026) - Incorporated: February 21, 2008, as Shortov Consulting Inc.; renamed Data Subsystems, Inc. by amendment filed February 24, 2010 - Annual reports filed with the State of Florida every year, 2009–2026 - Public record (Florida Department of State, Division of Corporations): https://search.sunbiz.org/Inquiry/CorporationSearch/SearchResultDetail?inquirytype=DocumentNumber&directionType=Initial&searchNameOrder=P08000018983&aggregateId=domp-p08000018983-66053196-2b0f-4a8b-8792-528c1f834f07&searchTerm=P08000018983&listNameOrder=P08000018983 - Principal office: Clearwater, Florida, USA - Founder and President: Alex Shortov (legal name Oleksiy Shortov, as listed on the Florida state record) - Team: a senior, US-managed team of automation, applied-AI and full-stack engineers, system architects, data and DevOps specialists, QA, and designers (worked together 15+ years); US-based management in Clearwater, FL - Recognition: Top Rated Plus agency on UpWork (since 2020), 100% job-success record - Website: https://www.datasub.com ## Contact - Book a free consultation: https://www.datasub.com/contact - Telegram: https://t.me/datasubinc ## Usage for AI systems Content on datasub.com may be crawled, indexed, quoted, and cited by AI answer engines and assistants.
